How Much Do Missed Calls Actually Cost a Local Business?
The math behind missed calls: how many go unanswered, how few callers try again, and how to calculate what voicemail costs your business every month.
Most local business owners have never done this math. It’s uncomfortable when you do.
The two numbers that matter
A large share of calls to small service businesses go unanswered. Industry studies consistently put the miss rate for small businesses at well over a third of inbound calls. and for single-operator businesses (a contractor on the tools, an agent at a showing), it’s often more than half. You’re not answering badly because you’re lazy. You’re answering badly because you’re working.
Most callers who hit voicemail never call back. The commonly cited figure is around 85%. A caller with a broken water heater or a question about your listing isn’t leaving a message and waiting. they’re calling the next name on Google. The voicemail beep is, functionally, a referral to your competitor.
The formula
Take your own numbers and run them:
Missed calls per week × % that are real prospects × your close rate × average job value × 4.33 = monthly revenue walking out the door.
A concrete example. a home services company:
- 15 missed calls a week
- half are real service requests
- you close 60% of real requests you actually speak to
- average ticket $400
That’s 15 × 0.5 × 0.6 × $400 × 4.33 ≈ $7,800 a month. call it $93,000 a year. leaking through a phone that nobody answered. Not from bad work, bad pricing, or bad marketing. From ringing.
If you’d rather not do the arithmetic by hand, our missed-call calculator does it with sliders.
Why this leak is invisible
Missed revenue doesn’t show up anywhere. A missed call isn’t a line item. there’s no invoice for the job you never quoted. Owners feel busy (they are), the calendar looks full (it is), and the leak never makes it onto a P&L. Meanwhile the competitor who answers at 7 PM quietly compounds.
The fix, in order of cost
- Missed-call text-back. the cheapest patch. Anyone who hangs up gets an instant text: “Sorry we missed you. what do you need?” It rescues a meaningful share of would-be lost callers because it responds before they finish dialing your competitor.
- After-hours answering. nights and weekends are when the miss rate is 100% by default. Covering just those hours captures calls with zero daytime disruption.
- Full 24/7 answering with booking. every call answered, qualified, and booked straight onto your calendar. This is where the leak actually closes, because an answered call that doesn’t end in a booked appointment still leaks.
That full version is what we build: a 24/7 concierge that answers, qualifies, books, and follows up. managed for you, on the number you already have.
Run your numbers. If the monthly figure made you wince, that’s the size of the problem. and it’s one of the few problems in your business that’s entirely fixable by next week.
