Lead follow-up for real estate agents: sequences that last

Follow-up has three windows: the first five minutes decide who gets the conversation, the first seven days convert the interested, and the months after keep you first in mind for people who are not ready. Most agents handle the first window badly and the third not at all.

Window 1: the first five minutes

Call first, then text. A live call confirms who they are and what they want fastest. If they do not answer, send a short text that references what they asked for. See speed to lead for how to make this reliable when you are not free.

Window 2: the first seven days

WhenChannelGoal
Minute 0 to 5Call, then textReach them and confirm the request
Same dayEmailSend what they asked for, plus one useful next step
Day 2CallTry again at a different time of day
Day 3TextAsk one easy question, not a pitch
Day 5EmailShare a relevant local example or result
Day 7Call and textOffer a specific time to talk

Window 3: the slow drip for months

Many sellers list months after their first inquiry. A light monthly touch, such as a local market note, a short check-in, or a relevant update, keeps you familiar without pestering. Stop when they reply with a clear no, and make it easy to opt out.

Sample messages

  • First text: "Hi [Name], this is [Agent] with [Brokerage]. I saw your request about your home's value. Is now a good time for a quick call?"
  • Day 3 text: "Hi [Name], quick question: are you thinking about the next few months or later this year?"
  • Slow drip: "Hi [Name], a home near you just sold. Want me to send what it went for and what it means for yours?"

Compliance basics

Rules on calls, texts, and emails vary. Check the federal rules on telemarketing and texting consent, the CAN-SPAM rules for email, Do Not Call registry requirements, and your state and brokerage policies before automating anything. This is not legal advice.

Common questions

How many times should I follow up with a lead?+

Enough to reach them, then a light monthly touch after that. There is no single right number, but stopping after one or two attempts loses leads who are simply busy.

Should I call or text first?+

Call first when you can, because it confirms who they are fastest, then text if they do not answer. Follow the consent rules that apply to you.

When should I stop following up?+

When they clearly ask you to stop, or tell you they have chosen another agent. Otherwise keep a low-frequency touch going.
